- Expect personal questions, computer basics, Word, Excel, email, sometimes Tally, a few situation questions and a short practical test.
- Understand model answers and say them in your own words with your real course and examples.
- Practise every technical answer on the computer โ interviewers often ask you to show it.
- Research the usual pay for the role in current listings before discussing salary.
Interviews for computer operator, office assistant, data entry and accounts assistant posts follow a familiar pattern: a few personal questions, some basic technical questions about computers, Word, Excel and email, sometimes Tally, a situation question or two, and often a short practical test. If you prepare the questions below, very little in a typical entry-level interview will surprise you.
Each question has a model answer. Do not memorise them word for word โ interviewers notice recited answers. Read the answer, understand the idea, then say it in your own words using your real course, town and experience.
How to use this page
- Read one section a day. Say each answer aloud twice.
- Close the page and answer from memory. Record yourself on your phone.
- For every technical answer, open the software and actually do it. If you cannot demonstrate it, practise until you can.
- Do one full mock interview with a friend, family member or trainer before the real one.
Personal and HR questions
1. Tell me about yourself.
Keep it to about one minute: name and town, education, the course you completed with two specific skills, one practical project, and why you want this job. Example: "I am from Siddipet and completed Intermediate in 2025. I recently finished a three-month DCA course where I practised Excel formulas like SUMIF and VLOOKUP and typed formatted letters in Word. For my project I built a sales register with customer-wise totals. I am applying because I want to work as a computer operator and grow in office work."
2. Why do you want this job?
"This role uses the skills I trained in โ Excel, typing and document work โ every day. I also want to learn how a real office runs, and your company deals with [their work], which I find interesting." Mention something specific about the company to show you prepared.
3. What are your strengths?
Pick two strengths and give proof for each. "I am accurate โ in my typing tests my accuracy stayed above 95 per cent. And I am regular โ I did not miss classes during my course except for one medical leave."
4. What is your weakness?
Choose a real but manageable weakness and show what you are doing about it. "My spoken English is still basic. I practise daily by reading aloud and speaking with friends for 15 minutes, and I am improving." Avoid fake weaknesses like "I work too hard".
5. Why should we hire you?
"I have recent practical training in the exact tools this job uses, I can show you my sample work, and I am reliable about timings. I am ready to learn your systems quickly under supervision."
6. Where do you see yourself in two or three years?
Be realistic and connected to the job. "I would like to become fully independent in this role, improve my Excel to advanced level, and take on more responsibility, such as preparing reports for management."
7. What salary do you expect?
Before the interview, check current listings for the same role in your city so you know the usual range. In the interview, say: "As a fresher, my priority is learning. I would expect a salary in line with what you normally offer for this role." If pressed, give a modest range based on your research, not on what friends claim.
8. Are you comfortable with the working hours, Saturdays or travel?
Answer honestly. If there is a real limitation, say it clearly now instead of creating a problem after joining. Reliability matters more than saying yes to everything.
9. Have you done any project or work?
Describe one piece of work with the tool and size. "I prepared an attendance sheet for 40 students in Excel with automatic percentage and a warning for anyone below 75 per cent. I have it on my phone if you would like to see it."
10. How can we verify your certificate?
"The certificate number is printed on it, and it can be verified online on the issuer's website." For a Nipun India certificate, the employer can check it at nipunindia.com/verify. Verify it yourself before the interview.
Computer basics
11. What is the difference between hardware and software?
Hardware is the physical parts you can touch โ monitor, keyboard, CPU, printer. Software is the set of programs that tell the hardware what to do โ Windows, MS Word, Tally, a web browser.
12. What is an operating system? Give examples.
The operating system is the main software that manages the computer's hardware and lets other programs run. Examples: Windows, Linux and macOS on computers; Android and iOS on phones.
13. What is the difference between RAM and ROM?
RAM is temporary working memory; its contents are lost when the computer is switched off. More RAM lets more programs run smoothly. ROM is permanent memory that stores start-up instructions and is not normally changed by the user.
14. Name some keyboard shortcuts you use.
Ctrl+C copy, Ctrl+X cut, Ctrl+V paste, Ctrl+Z undo, Ctrl+Y redo, Ctrl+S save, Ctrl+P print, Ctrl+F find, Alt+Tab switch windows, Windows+D show desktop, Windows+L lock the computer.
15. How do you organise files on a computer?
"I create folders by year, month or client, use clear file names such as Sales_Report_March_2026.xlsx, avoid saving everything on the desktop, and keep a backup on a pen drive or cloud storage as the office allows."
16. What are .docx, .xlsx, .pptx and .pdf files?
.docx is a Word document, .xlsx an Excel workbook, .pptx a PowerPoint presentation, and .pdf a fixed-layout document that looks the same on every device โ useful for sharing and printing.
MS Word questions
17. What is MS Word used for in an office?
Letters, notices, circulars, quotations, reports, forms and resumes. "I can format headings, set margins, insert tables, add page numbers and save the file as PDF."
18. What is mail merge?
Mail merge creates many personalised letters, labels or envelopes from one template and a list of names and addresses, usually in Excel. For example, one invitation letter can be printed for 200 customers with each name filled in automatically.
19. How do you save a Word document as PDF?
Go to File, choose Save As (or Export), select PDF as the file type, and save. Check the PDF once before sending.
20. What are header and footer?
The header is the area at the top of each page and the footer at the bottom. They are used for the company name, logo, page numbers or date, which then repeat on every page automatically.
MS Excel questions
21. What is the difference between COUNT and COUNTA?
COUNT counts only cells containing numbers. COUNTA counts all non-empty cells, including text.
22. Explain VLOOKUP with an example.
VLOOKUP finds a value in the first column of a table and returns a value from another column in the same row. =VLOOKUP(A2,$F$2:$G$100,2,FALSE) looks for the code in A2 within F2:F100 and returns the matching value from column G. FALSE means exact match.
23. What is an absolute reference?
A cell reference with dollar signs, such as $J$1, that does not change when you copy the formula. It is used for fixed values like a tax rate. Pressing F4 adds the dollar signs.
24. How do you remove duplicate entries?
Select the data, go to the Data tab and choose Remove Duplicates, then select the columns to check. "I make a copy of the sheet first, so the original data is safe."
25. What is the difference between sort and filter?
Sort changes the order of rows, for example A to Z or largest to smallest. Filter temporarily hides rows that do not match a condition, such as showing only one customer's invoices, without deleting anything.
26. What is Freeze Panes, and what is a pivot table?
Freeze Panes (View tab) keeps header rows or columns visible while scrolling a long sheet. A pivot table summarises large data quickly โ for example, total sales by customer and month โ by dragging fields, without writing formulas.

Email and internet questions
27. What is the difference between CC and BCC?
Everyone can see who was added in CC (carbon copy). Recipients in BCC (blind carbon copy) are hidden from the others. BCC is used when emailing many people who should not see each other's addresses.
28. How do you write a professional email?
A clear subject line, a greeting, a short purpose in the first line, details in short paragraphs, the attachment mentioned and attached, and a closing with your name and phone number. "I always check the attachment and the recipient before clicking Send." See the email writing guide.
29. What is phishing, and how do you stay safe?
Phishing is a fake message or website pretending to be a bank, company or colleague to steal passwords or money. "I do not click unknown links, never share OTPs or passwords, check the sender's address carefully, and report anything suspicious to my supervisor."
Tally and accounts questions
30. Name the main voucher types in TallyPrime and their keys.
Contra (F4), Payment (F5), Receipt (F6), Journal (F7), Sales (F8) and Purchase (F9). Credit Note and Debit Note are also commonly used for returns.
31. What are the golden rules of accounting?
Personal accounts: debit the receiver, credit the giver. Real accounts: debit what comes in, credit what goes out. Nominal accounts: debit all expenses and losses, credit all incomes and gains.
32. What is the difference between CGST, SGST and IGST?
For a sale within the same state, GST is split into CGST (central) and SGST (state) in equal parts. For a sale from one state to another, IGST (integrated) is charged instead. For example, 18 per cent GST within a state becomes 9 per cent CGST plus 9 per cent SGST.
33. What is a GSTIN, and what is an HSN code?
A GSTIN is the 15-character GST identification number of a registered business; the first two digits are the state code. An HSN code classifies goods for GST; services use SAC codes.
34. What is a contra entry?
A transaction between cash and bank accounts only โ for example, depositing cash into the bank or withdrawing cash from the bank. In Tally it is recorded with the Contra voucher.

Situation questions
35. You made a mistake in a report that has already been sent. What will you do?
"I will inform my supervisor immediately, explain the error, send the corrected report with a short note, and check how it happened so I do not repeat it."
36. Your supervisor gives you two urgent tasks at the same time. What do you do?
"I will ask which one is needed first, tell them roughly how long each will take, and keep them updated if anything delays me."
37. The printer or computer stops working during an urgent task. What will you do?
"I will try basic checks โ cables, paper, restarting the device, checking the printer queue. If it still does not work, I will inform the supervisor, use another system if allowed, and save my work so nothing is lost."
38. A customer is angry at the counter. How will you handle it?
"I will listen calmly without interrupting, apologise for the trouble, explain what I can do or who can decide, and give a clear time for the solution. I will not argue."
The practical test and the final minutes
Many employers follow the questions with a short test. Be ready for:
- A 5 or 10 minute typing test in English (sometimes in a local language)
- An Excel task: enter data, total it, use IF or COUNTIF, sort and filter
- Typing and formatting a letter in Word, saved as PDF
- For accounts roles: passing sales and purchase vouchers with GST in Tally
At the end, when asked "Do you have any questions?", ask one or two sensible ones: "What will my main daily tasks be?" or "Is there any training in the first month?" Thank the interviewer and leave politely.
