Your first email to an employer is often your first impression — before the interview, before they see you. A clear subject line, a short polite message and the right attachment tell them you can be trusted with office communication. This guide gives you the structure, the rules and nine ready templates you can adapt in minutes.

The examples work in Gmail, Outlook or any other email service. Names and companies in the templates are fictional; replace everything in square brackets.

Start with a professional email address

Many applications are ignored because of the sender address alone. Create a separate address for jobs and studies.

  • To: the person who must act on the email.
  • CC (carbon copy): people who should know but need not act, such as your supervisor. Everyone can see CC addresses.
  • BCC (blind carbon copy): recipients hidden from each other. Use it when emailing many outside people, such as a notice to all students or customers, so you do not expose everyone's email address.
  • Reply: answers only the sender. Reply All: answers everyone on To and CC. Before clicking Reply All, ask: does every person on this list need my answer?
  • Forward: sends the email and its attachments to someone new. Delete unrelated earlier messages in the thread if they contain private information.

Attachments: the rules most freshers break

  • Send resumes, letters and certificates as PDF, not Word or photos, unless the employer asks for Word.
  • Name files clearly: RaviKumar_Resume.pdf, RaviKumar_DCA_Certificate.pdf.
  • Mention attachments in the body: "Please find attached my resume and course certificate."
  • Attach the file before writing the body, so you never send "please find attached" with nothing attached.
  • Gmail allows attachments up to 25 MB per email; larger files are sent as a Google Drive link automatically. Outlook limits vary by account. Compress scans so the total stays small — a resume should be well under 1 MB.
  • When sharing a Drive or OneDrive link, check the sharing setting so the recipient can open it, and never set personal documents such as Aadhaar to "Anyone with the link".

A 60-second checklist before you click Send

  • Is the subject specific, with your name where relevant?
  • Is the person's name spelt correctly, with the right title (Mr./Ms./Dr.)?
  • Is the attachment attached, opened once and correctly named?
  • Are dates written with the day and month name ("21 October 2026")?
  • Is the email short enough to read on a phone without scrolling much?
  • Is there no text-speak (plz, u, thx), no all-capitals and no emojis?
  • Are To, CC and BCC correct, and is Reply All really needed?
  • Have you read it once aloud in your head for tone?
Safety net in Gmail

In Gmail settings you can set "Undo Send" to up to 30 seconds, giving you time to cancel an email sent too early. You can also use Schedule send (the arrow next to the Send button) to write a message at night and deliver it during office hours.

Email or WhatsApp?

Many Indian employers communicate on WhatsApp, and that is fine for quick updates. Use email when the message needs a record or attachments: applications, documents, leave, complaints, invoices and anything involving money. If someone asks for something on WhatsApp that matters later — "send your documents" — reply briefly on WhatsApp and send the files by email, then message "I have emailed the documents."

How do I write an email to send my resume?
