- Set A4 size and margins before typing, and use paragraph spacing instead of repeated Enter presses.
- Use Heading styles — they power the Navigation Pane and the automatic table of contents.
- Use real tables with right-aligned amounts and repeated header rows; never align columns with spaces.
- Mail merge (Mailings tab + an Excel list) is a frequent practical test — practise it end to end.
- Share final documents as PDF so the layout stays exactly as you designed it.
Almost every office in India still runs on Word documents: offer letters, quotations, notices, leave applications, minutes of meetings and reports. Employers rarely test "Do you know Word?" in words. They hand you a messy page and ask you to make it look professional in ten minutes. This guide teaches the features that make that possible, with two complete practice tasks.
The steps use Microsoft Word in Microsoft 365, Word 2021, 2019 and 2016. Menu names are almost identical across these versions. If you use Google Docs or LibreOffice Writer, the ideas are the same; only the menu locations change.
The habits that separate a professional document from a typed page
Before learning features, learn what employers notice first. A trainer or office manager usually judges a document in a few seconds using these points:
- One font family throughout (for example Calibri, Arial or Times New Roman), not four different fonts.
- Consistent sizes: body text 11 or 12 point, headings larger and bold.
- Correct paper size (A4 in India, not US Letter) and even margins.
- No spaces or repeated Enter presses used to push text into position.
- Aligned tables instead of columns made with the Spacebar or Tab key.
- Page numbers on anything longer than two pages.
- Spelling checked, and names, amounts and dates verified by reading them once more.
- Saved with a meaningful file name and shared as PDF when the reader only needs to read it.
Press Ctrl+Shift+8 (or click the ¶ button on the Home tab). Word now shows dots for spaces, arrows for tabs and ¶ for every Enter. You will immediately see why a page looks uneven. Professionals keep this on while editing and off while reading.
Page setup first: paper size, margins and orientation
Set the page before typing. Changing it later often moves tables and pictures.
- Go to the Layout tab (called Page Layout in Word 2010 and 2013).
- Click Size and choose A4. Many new installations default to Letter, which prints with odd gaps on Indian A4 paper.
- Click Margins. Normal (2.54 cm on all sides) suits letters and reports. Use Custom Margins if your office letterhead needs extra space at the top.
- Click Orientation: Portrait for letters, Landscape for wide tables.

Reports often need one wide table. Place the cursor just before the table, go to Layout → Breaks → Next Page (a section break), and add another Next Page break after the table. Click inside the middle section and change only its orientation to Landscape. Pages before and after stay portrait.
Styles: the feature most beginners skip
A style is a saved set of formatting — font, size, colour, spacing — with a name such as Heading 1 or Normal. Instead of making every heading bold and 14 point by hand, you apply the Heading 1 style. This matters for three reasons:
- Change the style once, and every heading in the document updates.
- Word can build an automatic table of contents only from heading styles.
- The Navigation Pane (View tab → tick Navigation Pane) lists your headings, so you can jump around a 30-page report.
- Select a heading line and click Heading 1 in the Styles box on the Home tab.
- For sub-headings, use Heading 2.
- To change how all Heading 1s look, right-click Heading 1 in the Styles box → Modify → set font, size and colour → OK.
- Body paragraphs should use the Normal style. Adjust Normal once (Modify) instead of formatting paragraphs individually.
Paragraph spacing, alignment and indents
Pressing Enter twice between paragraphs is the most common beginner habit. It creates uneven gaps and breaks page layout. Use paragraph spacing instead.

Tables that look neat and print correctly
Never line up columns with spaces. Insert a real table.
- Insert → Table and drag to choose rows and columns (for example 4 columns × 6 rows).
- Type the header row: S.No., Item, Qty, Amount (₹).
- Select the table and pick a simple design from Table Design (a light grid style prints well in black and white).
- Right-align number columns: select the column and press Ctrl+R. Amounts should line up on the right.
- For long tables, select the header row → Table Layout → Repeat Header Rows. The header now prints on every page.
- Use Table Layout → AutoFit → AutoFit Contents, then AutoFit Window, to remove awkward column widths.
Word tables can add a column with Table Layout → Formula and =SUM(ABOVE), but it does not update automatically when numbers change — you must right-click the result and choose Update Field. For real calculations, work in Excel and paste the final table into Word.
Headers, footers, page numbers and a table of contents
- Page numbers: Insert → Page Number → Bottom of Page → choose a centred or right-aligned number. Use "Page X of Y" for official documents so readers know if a page is missing.
- Header or footer text: Insert → Header → Edit Header. Add the document title, company name or reference number. Double-click the main page to leave.
- Different first page: while editing the header, tick Different First Page so the cover page has no number.
- Table of contents: place the cursor on page 2 → References → Table of Contents → Automatic Table 1. It lists every Heading 1 and Heading 2 with page numbers. After editing, click the contents and choose Update Table → Update entire table.
Practice task 1: a formal letter in the Indian format
This is the most common Word test in office interviews. Type the letter below exactly, then format it using the rules that follow. It uses fictional names.

Formatting checklist for the letter
- A4, Normal margins, Calibri or Times New Roman 12 pt throughout.
- Sender's address and date at top left (or top right if your office prefers — be consistent).
- Date written as "10 October 2026", which avoids day/month confusion.
- Subject line in bold. One blank line between blocks, created with paragraph spacing, not repeated Enter presses.
- Body justified; the address blocks left aligned. Use Shift+Enter for a new line inside an address so it stays one paragraph without extra spacing.
- "Yours faithfully" when you write to "Sir/Madam" without a name; "Yours sincerely" when you address a named person.
- Fits on one page. If it spills over, reduce spacing after paragraphs, not the font size below 11.

Practice task 2: a three-page report
Training centres and offices ask for short reports: monthly stock reports, event reports, project files. Build this skeleton to practise every feature in one go.
- Page 1 — cover: title in 24 pt, your name, course name, centre name and date, all centred. End the page with Layout → Breaks → Next Page (a section break), not a plain page break. Then click on the cover and open the Page Setup dialog → Layout tab → Vertical alignment: Center → Apply to: This section. Only the cover is centred top to bottom.
- Page 2 — contents: type "Contents", then insert an automatic table of contents. Press Ctrl+Enter.
- Page 3 onwards — body: add four Heading 1 sections: Introduction, Work Done, Data, Conclusion. Under Work Done, add two Heading 2 sub-sections.
- Under Data, insert a 4-column table with a repeated header row and right-aligned amounts.
- Insert one picture (Insert → Pictures), right-click → Insert Caption → "Figure 1: Training lab layout".
- Add "Page X of Y" in the footer with a different first page.
- Update the table of contents. Check that page numbers match.
- Run spelling and grammar check with F7, then export to PDF.
If you can complete this in under 30 minutes without searching for menus, you are at the level most office jobs expect.
Mail merge: one letter, hundreds of names
Mail merge creates personalised copies of one document — interview call letters, fee reminders, certificates, address labels — from a list in Excel. It is a favourite practical question because it shows you can combine Word and Excel.
Step 1: prepare the Excel list

Keep the headers in row 1 with no blank rows or merged cells. Type dates and times as text if you want them to appear exactly as shown, because Word sometimes reformats Excel dates. Save and close the Excel file.
Step 2: run the merge in Word
- Write the letter in Word, leaving gaps where personal details go: "Dear ___, you are invited for the practical assessment of ___ on ___ at ___."
- Mailings → Start Mail Merge → Letters.
- Select Recipients → Use an Existing List → choose the Excel file → pick the sheet → OK.
- Place the cursor in each gap and use Insert Merge Field to add Name, Course, Date and Time.
- Click Preview Results and use the arrows to check each record.
- Finish & Merge → Edit Individual Documents → All. Word creates a new document with one letter per person. Save or print it.
- "Data source not found": the Excel file was moved or still open. Close it and reselect.
- Amounts show many decimals, such as 1500.0000001: format the number in Excel as text, or add a number format switch to the field.
- Blank letters: there are empty rows in the Excel sheet. Delete them or filter them out in Edit Recipient List.
Review, track changes, PDF export and protection
- Track Changes (Review tab): every edit shows in colour so your manager can Accept or Reject it. Use it whenever you edit someone else's document.
- Comments (Review → New Comment): ask questions inside the document instead of changing text you are unsure about.
- Find and Replace (Ctrl+H): replace "2025-26" with "2026-27" across a whole document in one step. Tick Match case or Find whole words only when needed.
- Save as PDF: File → Save As → choose PDF in "Save as type", or File → Export → Create PDF/XPS. Send PDFs for resumes, quotations and letters so the layout does not shift on the other computer.
- Password protection: File → Info → Protect Document → Encrypt with Password. If you forget the password, the file usually cannot be opened, so record it safely.
- Compatibility: if the other office uses an old version, File → Save As → Word 97–2003 Document (.doc). Some formatting may change, so check after saving.
